In our meetings with the manager and supervisor of the operation, they explained the challenges they faced as well as the evolution of their processes for receiving, delivering and accounting for this high volume.

 

As confident and accurate as they were in their deliveries, different departments were regularly arguing with them about receiving their inbound shipments. In their research, sometimes hours per week, they could show the proper logging of the package and virtually 100% of the time they could go up to the department questioning them and find the "missing" package.

 

As the number of packages increased with the growth of the corporation across the country they had recognized that handwritten, manual logging would not meet their needs. They began to use MS Excel to type in the airbill number, the carrier and the destination department. To increase the speed of this "logging" they utilized two of their six staff members, one to read off the information and another to perform the data entry into Excel. With this new process the mailcenter was able to log and deliver their inbound packages by 1:00 PM. However..... the number of inbound packages continued to grow.

 

The next evolution was to utilize a vendor provided, DOS based, outbound shipping system with a wired scan gun to read the barcode, and then to simply key a department code and carrier code into the DOS application. The good news: the same two staff could now log the inbound packages, then team up with the other mailcenter staff and complete their deliveries by 11:30.

 

The bad news: they were still only logging packages and researching "missing" packages, it was still taking almost 3 hours to deliver their airfreight and the numbers continued to increase.

 

The next evolution.... BasikTrak™. The same two staff would now receive all of the inbound freight in less than 30 minutes. All packages were delivered, WITH signature capture, by 10:30 AM.

 

Research was now a breeze. The speed of BasikTrak's™ search would often allow the mailcenter staff to read off the name of who signed for the package even before the user finished reading them the tracking number! With the ability to provide a copy of the signature of the person in the department all arguments ceased, as well as the expeditions up to the departments to find the "missing" packages.
